About the role

Aurora's international presence is growing at a rapid pace! We are looking for a proactive and detail-oriented Office Manager who is looking for a role that is highly visible and critical to the growth of our Stockholm office.

Your primary function as Office Manager will be to oversee all internal operations of the Stockholm office.
You will manage all aspects of building & facilities, business operations and internal events and will partner with the global People & Culture, Finance, IT, Legal and Commercial teams as required to successfully implement local policies and procedures.

The successful candidate will be a proven manager and business operator but will also have experience of managing change, dealing with ambiguity and implementing new solutions.

With a proven track record of operational excellence, you will have the gravitas, skills and executive presence to drive best practice, consistency, and high levels of performance across the business.

Key responsibilities

  • Day-to-day running of the local office, including ordering office & kitchen supplies, handling, all office correspondence, processing supplier invoices and welcoming visitors
  • Manage all aspects of building & facilities, including proactive maintenance, infrastructure planning, health and safety, physical security, vendor relationships, and facility enhancements
  • Management of the local non-pay budget for office activities, providing regular management reports and raising office related purchase requests
  • Assist with central processes as required by and in partnership with other internal departments, in particular tasks requiring local 'on-the-ground' presence (e.g., setting up IT equipment, office tours and inductions for new joiners, organising Group Meetings)
  • Define, understand and educate the Stockholm office on correct practices for operational tasks and processes, working with the BIO Manager, EMEA and central teams where appropriate (e.g., expense policy, booking travel, meeting room use)
  • Triage and refer queries to relevant core departments (including People & Culture, Finance, IT, Legal and Commercial) for specialist attention and resolution when necessary
  • Swedish company governance, including ensuring compliance with all company and client statutory, privacy and security protocols and obligations, liaising with the internal legal team and professional advisers as needed
  • Identify, build and maintain working relationships with local professional advisers as required.
    Ad hoc support to all areas of the business as needed

What we are looking for

Required attributes:

  • Operational experience including but not limited to areas of HR, finance, legal, and business administration, ideally within a fast-growing international consultancy or professional services business
  • Team player with strong interpersonal skills, positive attitude and the ability to build effective relationships at all levels
  • Excellent coordination, time management and organisational skills; excellent communication skills (articulate, confident and adaptable to different audiences); strong attention to detail
  • A proactive self-starter, comfortable using their initiative and working autonomously, able to identify and resolve issues to support all areas of the business
  • Evidence of having a passion for working with people and working beyond the confines of the job description
  • Very good knowledge (C1 level) of both Swedish and English is essential
  • Excellent knowledge of Microsoft office suite

Desirable attributes:

  • Advanced Excel knowledge
  • Good knowledge of Swedish employment law and payroll processes
  • Good knowledge of local accountancy and financial processes
  • Experience of working with an ERP system
